1. Scope and introduction

CloserKit provides a software workspace for independent life insurance agents to organize leads, conduct supported calling workflows, manage appointments and business records, and review recorded business activity. This Policy describes categories of personal information processed in connection with our website, account registration and software services, the purposes for processing, disclosures, retention, privacy requests and our contact arrangements. CloserKit LLC operates the service from Pennsylvania, United States.

2. Our role and the role of agents

For information supplied to create and manage a CloserKit account, CloserKit generally determines the operational purposes for processing. Agents independently determine why they collect, import and contact individuals included in their own lead and customer records. CloserKit processes those records to supply the software and related services, subject to the actual arrangements and applicable law. This description does not predetermine legal controller/processor classifications for every circumstance. Individuals whose information appears in agent records may have privacy rights independent of the agent's contractual rights.

3. Information handled

Account and authentication: name, email, contact telephone number, self-reported National Producer Number (NPN), time zone, account and authentication identifiers, preferences, and account security events. Password authentication is operated through our authentication infrastructure; we do not claim that CloserKit stores readable passwords. NPN is entered during account completion and is not independently verified by CloserKit.

Leads and related contacts: information agents supply or import, which may include names, telephone numbers, addresses, birth dates or other supported contact attributes, notes, dispositions, appointments, referrals and related persons. The precise fields depend on what an agent submits and what the software supports.

Import and acquisition: lead sources, batch and delivery history, column mappings, import outcomes, rejected-row information and agent-entered acquisition spending.

Calls: telephone numbers, linked lead and agent identifiers, call direction, timestamps, connection and duration information, call outcomes, and provider or technical events. Call history exists separately from any recorded audio.

Recordings: where specifically enabled and legally authorized, audio, associated call/segment identifiers, timestamps, duration, consent-attestation and media lifecycle records may be processed. Audio may include information spoken by participants. A CloserKit attestation is not independent proof that all legally required consent was obtained.

My Book: agent-entered customer, carrier, product, application/policy identifier, coverage, annual premium, policy lifecycle, date, note and follow-up information, where supported. CloserKit does not itself underwrite or verify carrier decisions. Agents should not enter sensitive identity, medical, or payment credentials unless a field and lawful purpose expressly support doing so.

Analytics and service usage: recorded business activity and derived metrics, reporting period and time-zone data, feature use, technical events and relevant acquisition information. Derived metrics depend on underlying records and may be incomplete or inaccurate.

Billing: where deployed, account/subscription identifiers, authorized usage, invoices, transaction status and limited payment-method metadata from payment-service providers.

4. Purposes of processing

We process relevant information to register and authenticate accounts; provide lead, call, appointment and policy workflows; operate supported calling and enabled recording features; generate account reports; administer authorized subscriptions and usage; communicate transactional notices; handle support requests; protect security and prevent misuse; troubleshoot and maintain the service; and comply with applicable legal obligations.

5. Information sharing and service providers

CloserKit LLC uses third-party service providers to operate, maintain, secure and support the website and software. Depending on the services used, these providers may assist with account authentication, hosting, data storage, communications, payment processing, technical operations and support correspondence. Limited technical information may also be processed when browser software resources are delivered. We share relevant information for appropriate service and business purposes, subject to applicable safeguards, contractual arrangements and law. Authorized operational personnel may access information when needed for permitted service, security or legal duties.

We may disclose information to comply with applicable law or valid legal process, investigate fraud and security issues, or support a legitimate business transaction subject to applicable protections. CloserKit does not independently sell or distribute agents' imported customer records as lead inventory. An internal provider inventory records specific infrastructure suppliers; public product branding is CloserKit-first.

6. Security of information

CloserKit LLC uses technical and organizational safeguards designed to protect personal and business information processed through the Services. These include account authentication, access controls, and measures intended to restrict data access according to authorized account and operational responsibilities. Where available, recording media and other protected information use controlled storage and access mechanisms. We use operational safeguards intended to preserve service integrity, address unauthorized activity, and respond to security concerns.

No internet transmission or electronic storage can be guaranteed completely secure. Users should protect account credentials and devices and report suspected unauthorized access to privacy@closerkit.io.

7. Data retention and deletion

Different categories of information follow different retention rules. While an account is active, CloserKit maintains supported account and agent business records in accordance with applicable service and retention procedures.

After paid access ends, CloserKit generally continues to provide limited read-only access to retained leads, batches, notes, activity history, appointments, My Book records, and other supported account history. Access and retention depend on the applicable service lifecycle, record category, legal obligations, security requirements, and documented retention procedures. CloserKit does not guarantee a fixed minimum retention period for all account data. Cancellation does not automatically delete the account or its historical records.

Subscription cancellation is separate from account closure and privacy-related deletion requests. Individuals may contact privacy@closerkit.io to request deletion or closure, where applicable. CloserKit will review requests, verify identity or authority where appropriate, and respond in accordance with applicable law and available procedures. Some information may need to be retained for legitimate legal, financial, security, fraud-prevention, or dispute-resolution purposes. CloserKit does not currently offer self-service account deletion.

Recording audio. Where legally authorized and enabled, recording audio is retained for a default of 12 months from the confirmed start of the recording, with eligible early deletion and applicable preservation holds. Recording audio is distinct from call-history and recording-history metadata, which may remain after audio removal.

Temporary data, backups and providers. Temporary import/workspace records are intended for time-limited processing and governed cleanup. Backup copies and technical logs follow separately documented, finite retention procedures; relevant provider copies must be addressed through applicable deletion mechanisms. Removal from a live database does not by itself prove immediate erasure from every backup or provider.

Purpose-limited records. Account-agreement evidence, invoices, transaction details, security logs and privacy-request records may be retained only as appropriately needed for specific contractual, legal, financial, security or dispute purposes, according to category-specific schedules and lawful holds.

8. Privacy rights and requests

Depending on applicable law and the circumstances, people may have rights to request access to, correction of, or deletion of certain personal information, as well as other rights or appeals where required. Requests may be sent to privacy@closerkit.io. We may seek information reasonably necessary to verify identity or authority and will handle applicable requests according to legal deadlines and exceptions. Cancelling a subscription does not itself close an account or delete records.

9. Information provided by independent agents

Agents may provide contact information about leads, customers, policyholders, beneficiaries and other people who do not have CloserKit accounts. In many circumstances, the agent decides why that information is collected and used, while CloserKit processes it to provide the Services. A person concerned about agent-supplied information may contact privacy@closerkit.io. We will review the request and, where appropriate, coordinate with the responsible agent or identify the appropriate request process without disregarding CloserKit's own legal obligations.

10. Account closure

Subscription cancellation and account closure are separate. CloserKit does not currently provide general self-service account deletion. A verified request through privacy@closerkit.io may initiate closure and eligible deletion under documented operational procedures. Some limited records may remain for applicable legal and legitimate retention purposes.

11. Cookies and browser storage

CloserKit uses browser storage and similar technologies to support account authentication, security, user preferences and the functionality of its website and application. These technologies may help maintain signed-in sessions, remember application settings and support proper operation. Certain third-party infrastructure providers may also process technical information when delivering the Services. Where law requires particular notice, consent or additional choices, those requirements will apply.

12. Children's privacy and processing locations

CloserKit accounts are intended for persons at least 18 years old and are not offered to children. Agent-provided business records may relate to minors when supported by applicable workflows; agents must have proper legal authority to provide that information. Concerns may be sent to privacy@closerkit.io. CloserKit LLC is based in Pennsylvania, United States. Information may be handled in the United States or other locations involved in authorized service operations, with legally required transfer safeguards where applicable.

13. Changes

We will maintain a version/effective date and provide appropriate notice of material changes. Where law requires affirmative consent or other steps, we will take them before relevant processing changes. We generally provide advance notice of material changes, except where security or legal reasons require otherwise.
